I’m really excited to highlight a new Advanced Workflow capability released in April for RSA Archer release 6.4.

 

This new feature solves the problem of auditing Advanced Workflow actions performed by users. User Action node selections, Advanced Workflow enrollment and Advanced Workflow completion can now be tracked in the History Log Field. Detailed information including: Date, User, Action type, Name of Node/action, and what took place with the action can now be seen in the History Log field. We included the information for when the record gets enrolled and completes Advanced Workflow as well.

 

To enable the feature, you must first enable the storing of Advanced Workflow Audit information in the Advanced Workflow Designer. This new “Audit Settings” section resides in the Process Properties pane which is displayed by default when a user opens the Advanced Workflow tab from Manage Applications.

You can then set up permissions for which users have ability to view to audit information. NOTE: these permission only pertain to the Advanced Workflow Audit items in the History Log, NOT field items. If no user is selected, all users with read rights to the record/History Log field will see the information.

 

The retention policy allows users to configure cleanup for the audit information. You can choose “By Days” and “By Jobs”. By Jobs specifies the number of Advanced Workflow Jobs. This can be tracked through the Job Troubleshooter in the Admin Menu. Keep in mind that field retention is still in the History Log options section.

 

NOTE:  if you have audit data, and unselect the “Enable Workflow Auditing” checkbox in the Advanced Workflow designer, your audit data will be removed from the system. If you wish to hide the information in the History Log, but retain it, see the next section.

 

Users are now presented with a new option in the History Log field configuration section on the Options tab. Selecting this checkbox will display the stored Advanced Workflow Auditing information on the History Log field. Unselecting this option will not impact your stored Advanced Workflow Audit data.

We have added a new column to Each History Log display type except the Page Layout format. The new column details the type of change that occurred. The current choices include “Field Change” and “Advanced Workflow”.

Supported History Log display types include:

               Link. A new selection for Advanced Workflow filtering was added to the list of Field selections.
